AI Disclosures and AI Use

1. Our approach

We use artificial intelligence (AI) to help people work faster, never to replace their judgment. AI in Cheetah OS drafts, summarizes and answers questions. People make the decisions. We label AI features as AI, we do not use Customer Data to train AI models, and we do not use AI to approve, decline or price financing.

We do not develop our own AI models. We use models provided by third parties and do not fine-tune them. When we add or change an AI provider that processes Customer Data, we list it on our Sub-processors page and give notice as described there.

3. AI output can be wrong

AI can produce answers that are incorrect, incomplete, out of date or made up, even when they sound confident. AI output is not legal, tax, accounting, credit, investment or underwriting advice. Check anything important against the source records before you rely on it, and do not send AI-drafted messages, disclosures or documents to anyone without reviewing them first.

4. People make the decisions

Cheetah OS does not make automated decisions about individuals or businesses. It does not approve, decline or price financing, decide who receives funding, or make employment decisions.

  • Any credit, funding, underwriting, pricing, collection or employment decision must be made by a qualified person at the customer, who reviews the underlying information and not only an AI summary.
  • If and when document integrity and fraud signals are enabled, they will flag items for human review only. A signal is a reason to look more closely, not a finding of fraud, and it must never be the sole basis for declining an applicant. Signals will be generated from each customer's own data and will not be shared across customers.
  • Customers are responsible for their own legal duties when they make decisions, including adverse action notices and fair lending rules.

5. Your data and model training

  • We do not use Customer Data, including call recordings, transcripts, messages and documents, to train or improve AI models.
  • Our AI providers are not permitted to use Customer Data to train their models [[FILL: confirm provider no-training and retention terms, including zero retention]].
  • For the "Ask our AI" chat on our website, your messages are sent to Groq to generate replies [[FILL: confirm Groq retention and training terms, and whether we store transcripts]]. Please do not enter sensitive information such as Social Security numbers or bank details into the chat.
  • We will not begin using personal information to train AI models without first updating our Privacy Policy and, for Customer Data, obtaining the customer's affirmative agreement.

6. Safeguards against misuse and prompt injection

Documents, emails and messages can contain hidden text written to trick an AI into doing something it should not ("prompt injection"). Our safeguards include:

  • the in-app assistant works only within the customer's own tenant, so it cannot reach another customer's data;
  • content from documents, emails and messages is handled as information to analyze, not as instructions to follow;
  • the assistant cannot send messages, place calls or move money; when a User asks, it can create reminders and add notes, which are recorded in the Service; and
  • assistant conversations and the actions it takes are logged so they can be reviewed.

7. AI voice agents (if and when enabled)

AI voice agents are not live today. If and when we enable them:

  • Disclosure. Every AI call will begin by stating that the caller is an automated AI assistant calling on behalf of the named business. The AI will say it is an AI whenever asked.
  • Consent. Under the Telephone Consumer Protection Act, the FCC treats AI-generated voices as "artificial" voices. Customers must hold prior express consent before an AI voice agent calls a mobile number, and prior express written consent for telemarketing calls. The Service will be designed to block AI calls to contacts without a recorded consent.
  • Opt-out. A person can say they do not want further calls, and the request will be recorded as an opt-out.
  • California. Where an automatic dialing-announcing device plays an artificial voice message, California Public Utilities Code section 2874 requires a natural-voice announcement that the message uses an artificial voice.
  • Recording. AI voice calls are recorded and processed like other calls, and customers must give the notices and obtain the consents the law requires.
  • No voice cloning without consent. Customers may not use an AI voice that imitates a real person without that person's written consent.
  • UK. Under the UK Privacy and Electronic Communications Regulations, automated marketing calls require the recipient's prior specific consent to automated calls from that caller.

8. Customer responsibilities

Customers using AI features in Cheetah OS agree to review AI output before relying on it, keep a person responsible for every decision about an individual or business, give any notices the law requires when they use AI with their own contacts, and follow our Acceptable Use Policy. Customers may not use AI features to deceive, to discriminate unlawfully, or to impersonate a person.

9. State and international AI law notices

Colorado

Colorado's law on automated decision technology (Senate Bill 26-189, which replaced Senate Bill 24-205) takes effect on January 1, 2027. It covers technology used to materially influence consequential decisions, including decisions about financial or lending services. Cheetah OS is not designed to make or be a substantial factor in those decisions. If a customer uses our AI features in connection with such a decision, the customer is the deployer, and we will provide available documentation about the feature, its intended uses, known limitations and how human review works.

California

  • Bot disclosure. California law prohibits using a bot to mislead people about its artificial identity to encourage a sale. Our website chat is labeled as AI, and AI voice agents will disclose that they are AI.
  • Automated decisionmaking technology. California Privacy Protection Agency rules on automated decisionmaking technology used for significant decisions, including financial and lending services, apply from January 1, 2027. Where a customer is subject to those rules, it is the business responsible for pre-use notices, opt-out or appeal rights and human review, and we will provide the information it needs about our features.
  • Artificial voice. See Section 7.

Utah

Under the Utah Artificial Intelligence Policy Act, a business must disclose that a person is interacting with generative AI when the person asks, and must disclose it up front in certain regulated services. Our AI features identify themselves as AI from the start.

Texas

The Texas Responsible Artificial Intelligence Governance Act took effect on January 1, 2026. We do not develop or deploy AI with the intent to manipulate people into harm, to discriminate unlawfully, or for other purposes the Act prohibits, and our Acceptable Use Policy forbids customers from doing so.

Illinois

From January 1, 2026, the Illinois Human Rights Act prohibits employers from using AI in ways that discriminate in employment decisions and requires them to notify workers and applicants when AI is used. Cheetah OS is not designed for hiring, promotion or discipline decisions. A customer that uses AI features in any employment decision about Illinois workers is responsible for those notices and obligations.

Maine

Maine law treats using an AI chatbot in trade in a way that could mislead someone into thinking they are dealing with a human as an unfair trade practice unless it is disclosed. Our AI features disclose that they are AI.

United Kingdom and European Union

The UK has no single AI statute. UK data protection law gives individuals safeguards for significant decisions based solely on automated processing, and we do not make such decisions. If we offer AI features to people in the European Union, we will meet the EU AI Act's transparency duties, including telling people when they are interacting with an AI system.
